These Terms & Conditions (“Terms”) govern your use of the Arcadia Health Clinic website (“Website”) and any bookings, enquiries, purchases, or services arranged through it. By using our Website you agree to these Terms. If you do not agree, please do not use the Website.

2) The Website is not emergency care
Our Website does not provide emergency services. If you think you are experiencing a medical emergency, call 999 or attend A&E. If you need urgent non-emergency advice in the UK, contact NHS 111.
3) Eligibility and acceptable use
You agree that you will:
Use the Website lawfully and not misuse it (including attempting unauthorised access, introducing malware, or scraping content at scale).
Provide accurate information when submitting forms, booking appointments, or purchasing items.
Not use the Website to harass, threaten, defame, or otherwise harm others.
We may suspend or restrict access to the Website where we reasonably believe these Terms have been breached.
4) Medical information and clinical content disclaimer
Content on the Website is for general information only and is not a substitute for:
A face-to-face clinical assessment,
A diagnosis,
Personalised medical advice.
Clinical decisions are made only after an appropriate consultation and assessment, and where relevant, in accordance with applicable professional standards and clinical governance.
5) Booking appointments
When you book an appointment via the Website, you are making a request for services. We will confirm your booking by email/text (or other written confirmation). A booking is only confirmed once you receive confirmation from us.
We may decline, cancel, or reschedule a booking if:
The service is not clinically appropriate,
A clinician becomes unavailable,
Your information is incomplete or inaccurate,
We reasonably believe there is a safeguarding concern or risk issue.
6) Fees and payments
Prices are shown on the Website in GBP (£) unless stated otherwise. Prices may change at any time, but confirmed bookings will be charged at the price shown at the time of booking (unless an obvious error has occurred).
Payment timing: all appointments are pre-paid in full at the time of booking.
VAT: Value Added Tax (VAT) is not applicable to the services booked through this clinic. As such, you will not be charged VAT on any purchases made through Arcadia Health Clinic.
You agree to pay all fees due for the services you book or products you purchase.
7) Cancellations, rescheduling, late arrivals, and non-attendance
Client cancellations/reschedules:
If you cancel with at least 24 hours’ notice, you will receive a partial refund, with a non-refundable deposit withheld.
If you cancel with less than 24 hours’ notice, or do not attend (‘DNA’), we you will not be entitled to any refund.
You may reschedule certain appointment types in advance. Different appointment types have different rescheduling limitations:
Urgent appointments cannot be rescheduled.
Advanced booking appointments can be rescheduled with a minimum of 12 hours’ notice.
Late arrival:
If you arrive late, we may need to shorten the appointment to avoid delaying other patients. If you are more than 10 minutes late, we may treat this as a missed appointment.
Clinic cancellations:
If we cancel or reschedule your appointment, you will be offered an alternative time or a refund of any appointment fees paid.
8) Suitability, consent, and safeguarding
All services require:
Completion of a health questionnaire,
Consent forms,
Proof of identity and/or age,
A chaperone option (where appropriate),
Additional clinical checks.
We may refuse treatment where it is not clinically appropriate, where consent cannot be obtained, or where we have safeguarding concerns.
9) Remote/online consultations (if offered)
For video/telephone/online consultations:
You are responsible for ensuring you have a suitable internet connection and a private setting.
We may recommend an in-person review if remote assessment is not sufficient.
If you provide inaccurate/incomplete information, this may affect the safety and appropriateness of any advice or prescribing.
10) Prescriptions and regulated services
All services include the potential prescribing or supplying of medicines:
Supply/prescribing is subject to clinical assessment and professional judgement.
We may decline to prescribe/supply where it is unsafe or inappropriate.
You must follow the directions provided and tell us about side effects or concerns.
11) Intellectual property
All content on the Website (text, branding, logos, images, videos, designs) is owned by us or licensed to us. You may view and print pages for personal use only. You must not reproduce, distribute, or commercially exploit any content without our written permission.
12) Links to third-party websites
The Website may contain links to third-party sites. We are not responsible for their content, policies, or practices. Linking does not imply endorsement.
13) Limitation of liability
Nothing in these Terms excludes or limits liability where it would be unlawful to do so, including for death or personal injury caused by negligence or fraud.
Subject to the above, we are not liable for:
Any loss arising from reliance on general information on the Website without a consultation,
Indirect or consequential losses (e.g., loss of profits, business interruption),
Losses caused by events outside our reasonable control.
Our total liability for losses arising in connection with the Website will not exceed the amount you paid to us for the relevant service/product (where applicable), except where law requires otherwise.
